Privacy Policy for Sniffie Public Site

Below is an up-to-date privacy policy for Sniffie website and internet services. It was last updated on 27th February 2024.

1. Introduction

Sniffie (“Sniffie Service”) is a tool that can be used to automatically monitor any product data or other web content across different web pages and automatically analyze and visualize said content. Sniffie’s public website (“Sniffie Public Site”) is a public website that offers general information about Sniffie Service.

This privacy policy explains what Sniffie Public Site is and what it does. The main purpose of this privacy policy is to ensure all Sniffie Public Site end users understand that we as a service provider truly care about your privacy and will make all in our effort to tell you how your personal data is collected, stored and used. If you do not accept this privacy policy, please do not use this website or Sniffie Service any longer.

This privacy policy has been compiled to better serve those who are concerned with how their ‘Personally Identifiable Information’ (PII) is being used online. PII, as used in US privacy law, EU GDPR policy, and information security, is information that can be used on its own or with other information to identify, contact, or locate a single person, or to identify an individual in context.

2. What is Sniffie Public Site

Sniffie Public Site is a general information website regarding Sniffie and also the home of Sniffie’s blog. It is available at https://www.sniffie.io. Additional subdomains covered by Sniffie Public Site include https://support.sniffie.io and https://blog.sniffie.io. Additional domains pointing to Sniffie Public Site include www.sni.fi and www.sniffie.fi. Sniffie Public Site is hosted in Finland or the EU.

Sniffie Public Site does not host Sniffie Service: no information is transmitted between Sniffie Service and Sniffie Public Site.

3. What is personal data

Personal data refers to any information that can be directly or indirectly linked to you and thus makes it possible to identify you. This would include for example your name, your email, your address, your phone number, and your IP address.

Information other than described above we may consider non-personal. This said, we take all feasible precautions to ensure your collected personal and non-personal data is safeguarded. All information exchange between you and Sniffie Public Site is always encrypted via HTTPS (TLS / SSL) technology.

4. What personal and non-personal data do we collect from the people that use Sniffie Public Site

a) Sniffie Public Site does not collect personal or non-personal data, until you personally visit Sniffie Public Site.

b) Sniffie Public Site automatically collects your IP address, timestamp and visited url for logging purposes. This information is solely accessible for Sniffie administrators and is used only for the prevention of malignant behaviour or crimes towards Sniffie Public Site or Sniffie Service. These include unauthorised access attempts to any data hosted by Sniffie.

c) When you visit Sniffie Public Site, you may choose to enter information to some of our contact forms. Some of these forms will save your information to third-party CRM services, such as Hubspot, so that Sniffie personnel can contact you. When you fill out and send such a contact form, you consent to your personal information in the sent contact form (i.e. your name, phone number, email address and reason for contact) to be recorded automatically to Hubspot. This information is accessible by Sniffie sales personnel.

d) When you visit a page on the Sniffie Public Site, some information about your visit is automatically collected by Cloudflare (our DNS and data caching service) to mitigate threats.

e) Sniffie Public Site also offers the ability to chat with Sniffie personnel via Intercom chat. Should you choose to chat with Sniffie personnel, the chat logs will be retained at Intercom in their EU data centers.

5. When do we collect information

We collect information from you when you visit Sniffie Public Site or enter personal data in some of the forms or chat with us (as explained in Section 4).

6. How do we get the information about you in the first place

We learn and get data from and about you when:

a) you willingly give it to us directly (e.g., when you enter your information in a contact form or start a chat with Sniffie personnel);

b) we collect it automatically for logging purposes as you visit Sniffie Public Site;

c) we collect it automatically via Cloudflare as you visit Sniffie Public Site for site optimization purposes and threat mitigation purposes.

d) we participate in affiliate marketing programs to generate awareness, trials, revenue and provide recommendations. When you click on an affiliate link on external websites that deliver you to our website as well as approve our cookies, we may collect data, such as the fact that you clicked a certain affiliate link, the referral URL, the date and time of the click, and the affiliate ID. This data is used for tracking purposes, helping us understand the effectiveness of our marketing campaigns. Please note that we do not have control over the data collected by our affiliate partners. Cookies may be placed on your device for tracking purposes when you click on affiliate links.

6.1 Opting out from your data being collected

You can choose which cookies you accept when first arriving to Sniffie Public site. You can always change your preferences from the bottom of the file.

If you do not want your personal data to be added to Sniffie’s HubSpot, do not enter your personal details in the contact forms on this page and send them. If you have entered your personal details to HubSpot and want them removed, you can either 1) contact your Sniffie sales contact to remove your personal data or 2) contact Sniffie support to remove your personal data.

If you do not want your personal data to be added to Sniffie’s Intercom, do not enter any information to Sniffie’s Intercom chat. If you have entered your personal details to Intercom and want them removed from Sniffie’s Intercom, you can leave a request in Sniffie’s Intercom chat.

If you have subscribed to Sniffie’s public newsletter in the confirmation email you receive after submitting a contact form, you can remove your subscription at any time by clicking the unsubscribe link in the email. If you are unable to do so for any reason whatsoever,please contact Sniffie support to remove your information from the newsletter platform.

You may opt-out from automatic Google Analytics by installing an opt-out plugin by Google via instructions on this page.  Alternatively, you can use a browser add-on such as NoScript Security Suite for Firefox or uMatrix for Google Chrome to disable all network requests and JavaScript execution to any domains by default and only enable content for specific domains you want to.

In addition, there are other tracking-blocking softwares that can be configured to block certain domains such as Google Analytics, HubSpot, Intercom etc. One of the better ones is uBlock Origin (Firefox / Chrome), another one is Electronic Frontier Foundation’s Privacy Badger.

Furthermore, browsing this website in Incognito (Chrome) / Private Browsing (Firefox) / Private Browsing (Safari) mode will automatically disable most of the tracking.

7. How do we use your personal data

The main purpose to use your personal data is to ensure that we are able to contact you should you be interested in trying out Sniffie Service. If you fill out and send a contact form on this website, your information will be automatically added to Sniffie’s CRM Hubspot. The information is then accessed by Sniffie sales personnel who will contact you. After filling such a contact form, a confirmation email is sent to you explaining your information has been received. The confirmation email also contains instructions for subscribing to Sniffie’s public newsletter.

We use personal data to monitor Sniffie Public Site usage to improve its design and content.

We may also use your personal data to identify and mitigate causes of malignant behavior toward Sniffie Public Site or Sniffie Service.

8. How do we protect your personal data

Sniffie Public Site is regularly updated and scanned on a regular basis for security holes and known vulnerabilities to ensure using Sniffie Public Site is as safe as possible. All connections are secured with HTTPS (i.e. TLS / SSL) both between you and Sniffie Public Site as well as you and our possibly utilized third-party service providers. No data exchange will occur without a secured connection.

Sniffie Public Site backend and databases are only accessible by a limited number of persons who have special access rights to such systems, and are required to keep the information confidential (such as Sniffie sales personnel).

We implement a variety of security measures when a user enters, submits, or accesses their information to maintain the safety of their personal data. These include, but are not limited to, prepared statements in database queries.

We do not give, sell or offer the data to anyone. In case of a crime or a suspicion of a crime, a law enforcement personnel might need some Sniffie Public Site user information from our databases, then access may be granted.

All data at Sniffie is hosted in the EU area.

9. Third Party Disclosure

We do not sell, trade, or otherwise transfer to outside parties your personally identifiable information unless we provide you with an advance notice and you will give us your consent. We may also release your information when we believe release is appropriate to comply with the law, enforce our site policies, or protect ours or others’ rights, property, or safety.

10. Third party links and services

Sniffie Public Site uses Google Analytics for visitor tracking to improve the site experience. We may also use other Google services occasionally to provide Sniffie Public Site. Read more about Google’s privacy policy here.

Sniffie Public Site may also have a Google Ads retargeting pixel provided by Google and Facebook retargeting pixel provided by Facebook. Retargeting pixels collect and store data on people who have clicked and visited our website through our online advertisement we have paid for. Clicking such an ad creates a retargeting list where you might later receive Sniffie advertisements based on your interests. If you want to opt-out of these you can use NAI Consumer Op-Out service to opt-out from different third-party vendor’s use of cookies. You can also use these guidelines to opt-out of Google’s use of cookies by following these guidelines.

Sniffie public site may also have Hotjar analytics in parts of the website for analytics purposes. Sniffie public site may also have Microsoft Clarity in parts of the website for analytics purposes.

Sniffie public site uses Cloudflare for DNS services and caching. Some information about your visit to Sniffie public site is thus automatically sent to Cloudflare.

10.1 Cookies

A cookie is a small text file that may be stored on the hard drive of your computer when you access Sniffie Public Site. A “session cookie” expires immediately when you end your session (i.e., close your browser). A “persistent cookie” stores information on the hard drive so when you end your session and return to the same website at a later date, the cookie information is still available. You can clear persistent cookies in your browser privacy tab.

When you visit Sniffie Public Site, we may use both a session and a persistent cookie. These cookies may contain information (such as a unique user ID) that is used to track your usage of our website. Your email address is only saved in this cookie if you register with us. Cookies are only set to your computer when you consent to our use of cookies.

10.2 Pixel Tags

A pixel tag (also known as a web beacon) is a small string of code that represents a clear graphic image and is often used in conjunction with a cookie. A pixel tag allows us to capture certain additional types of information about a visitor’s actions on a web site, such as a visitor’s cookie number, the time, date, duration and number of page views, a description of the page where the tag is placed and details about any items that were purchased. Pixel tags help us analyze our customers’ online behavior and measure the effectiveness of our website and our advertising. We work with Google and Facebook that help us track, collect and analyze this information. Pixel tags are not set unless you give us your consent.

Sniffie Public Site has a chat provided by Intercom. Intecom’s privacy policy is available here. We use Intercom’s EU data hosting, so data in Intercom is only retained in EU.

Opting out from any of these services is described above in section 6.1 of this document.

Sniffie Public Site, especially the blog, may at times provide links to external websites. Such websites will have privacy policies different from this one. Sniffie Public Site is not responsible for any content available at such external websites.

11. GDPR Compliance

All our customers and Sniffie Public Site users, regardless of the country of origin, are treated with the equal right to have similar protections as all EU citizens.

Sniffie Software only uses external services that comply with the EU General Data Protection Regulation (EU 2016/679) in a fashion that complies with all EU data protection regulations. Most user-related analytics are based on an obfuscated id, which cannot be connected to the user in person. Some user analytics may be related to personal data you have willingly provided us via contact forms or a chat.

You have the right to check what kind of personal data we have collected about you. When requested by you, we will modify, remove or supplement any unnecessary, incorrect, incomplete or outdated personal data. When you want to remove any data that you have provided to us, all your personal details are overwritten by obfuscation and no connection to your personal information can no longer be made.

Sniffie Software stores all data within the EU area in data centers scattered across different geographical regions. All connections between you, the user, and Sniffie are always encrypted. All data storage backups are also stored in the EU area in a separate cold data storage. All user details are handled with the utmost care and with current security practices recommended by security experts.

Sniffie endures that any third-party services used to provide Sniffie Public Site are GDPR compatible and used in a GDPR compatible fashion.

Sniffie employs certain Subprocessors to carry out a range of tasks related to the processing of information data.

Sniffie’s GDPR data protection officer (DPO) is Niko Naakka.
